Stop losing customers after you close

Enquiries that arrive after closing time are usually lost rather than delayed: people contacting a local business in the evening tend to message several and book with whoever replies first. The fix is not longer hours or faster typing — it is coverage, so that something answers, quotes and books in seconds regardless of the time.

Why after-hours enquiries do not wait

Consider what someone is actually doing when they message a dentist at 9:40pm. They finished work, dealt with dinner, and finally got to the thing they have been putting off. They are motivated right now, and they are almost certainly not messaging only you.

By the time you reply at 8:30 the next morning, one of two things has happened: they booked with whoever answered, or the urgency passed and the tooth stopped hurting. Neither ends with you getting the appointment. This is why "we always get back to people first thing" feels responsible and still loses money.

Put a number on it before you fix it

Before buying anything, work out whether this is actually your problem. Count last month's enquiries, estimate what share got no reply or a next-day reply, multiply by your close rate and your average customer value.

Our free missed lead revenue calculator does the arithmetic and shows the yearly figure. If it comes out small, spend your money on marketing instead — you need more enquiries, not better handling.

The four realistic options

There are not many ways out of this, and most owners have already tried the first two.

What "answered" has to mean

An after-hours reply only counts if it moves the customer forward. Acknowledging a message at midnight and doing nothing else just proves you were awake.

Done properly, the conversation answers the real question (do you treat this, what does it cost, are you near me, do you take my insurance), offers concrete times, and confirms one. When you open in the morning the outcome is an appointment, not a to-do list.

Where the enquiries are actually arriving

Most owners underestimate how much has moved off the phone. Instagram DMs, WhatsApp, Google, a form on the website — the phone log only shows one channel.

This is why a single link that works everywhere beats fixing one channel at a time. Put it in your Instagram bio, your WhatsApp auto-reply, your Google profile and a QR code at the counter, and every route leads somewhere that can actually serve the customer.

Frequently asked questions

Should I just extend my opening hours?

Extending hours buys you a slice of the evening at the cost of wages or your own time, and still leaves nights, early mornings and holidays uncovered. Flat-rate coverage is cheaper than the slice.

Is an auto-reply enough?

It is better than silence and worse than an answer. An auto-reply manages expectations; it does not book the appointment, and the appointment is the point.

What if the enquiry is an emergency?

It should be detected and escalated to you immediately rather than handled automatically. SleekBase flags conversations that need a human and notifies you.

Will this work if I do not have a website?

Yes. A Digital Branch is its own link — that is the whole idea. Plenty of businesses run it from an Instagram bio with no website at all.
